DELCOR is looking for a "Team Success Administrator", someone who is an enthusiastic & pro-active team player, with experience in Equity Operations to support  the Family Office & build the success of everyone around us.

About the Role...

To pro-actively assist in the day-to-day operations of the DELCOR Family Office & be a positive influence towards the client experience.

In this role you will be responsible for:

  • Preparing client documentation and assist with onboarding
  • Manage ASX trade reporting & allocations 
  • Ensure accuracy of the Portfolio Administration platform
  • Answering the phone and assisting with queries
  • Liaising with clients to achieve success
  • Prepare consolidated reporting for client reviews 
  • Maintaining, updating and assisting in coordinating the website, social media, professional staff Linkedin and other media releases
  • Maintaining and updating records and databases
  • Tracking stock of general and office supplies and place orders when necessary 
  • Assisting with client agendas/travel arrangements/appointments etc for the team as needed
  • Assisting with all compliance schedules across the multi-disciplinary internal team and external regulatory bodies (including ATO, CPA, NTAA, ASIC, TPB, AFSL, PI insurances, Registers and Training programs etc)
  • Assisting in the maintenance of the Firm’s Policies and Procedures Manuals including electronic versions
  • Preparing presentations/proposals as assigned or project work as needed from time to time
  • Supporting the team to meet set deadlines
  • Liaising with support businesses as required; including software, subscriptions, telecommunication, IT, suppliers, branding matters as required. 
  • Oversee the management of incoming/outgoing mail

About You...

To be successful in this role you will have outstanding verbal and written communication skills with the ability to build rapport with clients and colleagues quickly. You will be highly efficient and able to prioritise work as well as use your initiative to be 'one step ahead.'

Experience, Skills and Attributes:

  • Experience in a similar role
  • Proven experience in Financial Services, with knowledge of operational processes, controls & responsibilities of AFSL
  • Advanced computer skills across a broad range of programs to support a Family Office business
  • Proven knowledge and/or experience with software – including:
    • Portfolio Administration (Praemium or similar)
    • Back Office systems (Agility/GBST or similar)
    • IRESS (for settlement purposes)
    • Cash Management facilities
    • CRM systems
  • A high attention to detail
  • Excellent organisational and leadership skills
  • Outstanding communication and interpersonal abilities
  • Strong ability & desire to problem solve individually and within a team
  • Ability to work autonomously
  • Possess effective time management skills
  • Be a team payer with a "Yes, can-do" attitude 
  • RG146 compliant (desired, not essential)
